HomewatchIQ includes a built-in document builder that lets you create, send, and collect electronic signatures on any document — service agreements, keyholder agreements, vehicle authorization forms, liability waivers, and more.

Creating a Document

  1. Go to Documents in the left sidebar and click + New Document or Document Templates
  2. Use the rich text editor to write your document. Use the toolbar for formatting — bold, italic, headings, lists, and alignment
  3. Insert variables using the Insert Field button — available variables include {{client_name}}, {{date}}, {{property_address}}, and {{phone_number}}
  4. Add a signature block by inserting the {{signature}} variable where you want the homeowner to sign
  5. Save as a template to reuse for future clients

Sending a Document

  1. From your Documents list, click the send icon on any document or template
  2. Select the contact you want to send to — their name and address will pre-fill automatically
  3. Click Send — the homeowner receives an email with a link to sign
Tip: Variables like {{client_name}} and {{property_address}} are automatically filled in from the contact record when you send.

How the Homeowner Signs

When the homeowner opens the document link:

  1. They review the full document in their browser — no app or account needed
  2. They draw their signature using a finger (mobile) or mouse (desktop)
  3. They type their full legal name to confirm
  4. They click Sign Document

Once signed, you receive an instant email notification and the document status updates to Signed in your dashboard.

Audit Trail

Every signed document includes a tamper-evident audit certificate containing:

The audit trail is attached to the bottom of the signed document and is included when you print or save as PDF.

Sending a Reminder

If a homeowner hasn't signed yet, click the ··· menu on any document and select Send Reminder. The homeowner receives a follow-up email with the subject prefixed with "Reminder:".

Downloading a Signed Document

Open any signed document and click Print / Save PDF to download a PDF copy including the audit trail.

Legal Validity

Electronic signatures collected through HomewatchIQ are legally binding under the U.S. Electronic Signatures in Global and National Commerce Act (ESIGN) and the Uniform Electronic Transactions Act (UETA). See our Terms of Service for full details.
